Working Remotely Doesn’t Have to Be Lonely

Working from home has many advantages. It has given businesses the opportunity to remain operational throughout these tough times and its kept employees working.

It’s important to build and maintain relationships while working remotely and avoid isolation that can occur, especially for extroverted individuals who are experiencing a remote work environment for the first time.

In this article, we highlight some of the best ways to stay connected.

Effective Communication

The key to running any successful business is through effective communication. Depending on where you are in the world, some forms of communication will work better than others (especially where there are time zone differences).

Speaking on the phone works if you’re in transit and can’t get in front of your computer but for the most part, using methods of communication that allow for screen sharing are more effective. Video conference software can satisfy this form of communication. The most commonly used video conference software include Zoom, Microsoft Teams, and Google Meet.

The more video conference calls you can have in a week the better because it can prevent any miscommunication with your team, delays in productivity, and it also provides you with socialization. For ongoing communication throughout the day, chatroom software can be very useful.  You can use chatroom software to streamline workflow, share files, manage projects, and reach both clients and team members easily.

An application called “Slack” is one of the most popular choices for this purpose but there are some alternatives that have been receiving some great reviews too such as Fleep, Flock and Chanty.

Communication Software For Your Phone

These days it seems there’s just no escaping your phone. Most people have their phones with them at all times throughout the day so they can be more available to their clients and/or coworkers.

There are some really great apps that can help you communicate better and keep your personal and business communications apart.

A lot of businesses use an app called Whatsapp because of its versatility. It offers texting, video chat, document, and image sharing, and can be accessed from almost anywhere in the world with no long-distance fees.

Creating a Work-Life Balance

Sometimes you can lose track of the day and with added household responsibilities on top, it can feel like mission impossible to find that balance between work and play.  (We have a great resource library to help you find balance here.)

There are many ways you can incorporate socialization into your workday whether you’re grabbing breakfast with a friend, going for a walk with a neighbor, or having coffee with your co-worker, it’s important to make time to step outside your remote workplace bubble.

You can use your break time to check in with friends and family via social media channels like Facebook and you can also join an online community group which can be a great form of support while helping you form new relationships at the same time.

Other ways to connect

HireMyMom has a great online community with the goal to encourage, inspire, support, and grow each other. For more information, you can visit our community page here.

This is How You Work from Home With Kids

When you work at home, carving out quiet time to do professional work is always challenging, especially when your kids are off school for a break or too young to attend school. This issue is now more acute than ever as many school-age children learn from home or attend school on partial schedules due to COVID-19.

Here are some ideas for keeping the kids busy so you can get work done each day.

Consider Child Care

I realize this is easier said than done. There’s often an expense associated with child care. What’s more, bringing new people into your bubble can open up health concerns. But, child care doesn’t have to be a full-time daycare or nanny situation. Several creative options are available for child care, which can be right for you and your kids.

Non-Traditional Sources of Child Care

Here are some out-of-the-box ways to find help:

  • Form a pod with another family and take turns on kid duty a few hours each day or every other day, giving each set of adults a chance to work kid-free.
  • Look for a local student who is home from college and could provide a few hours of support each week. Perhaps you can even find an education major who can tutor older children for college credit.
  • Ask a neighbor to consider swapping tasks with you–trading a few hours of child care for a service you’d be happy to provide like shopping, cooking, or organizing.

Nanny Sharing

Consider sharing a nanny if you’d like a more traditional route but don’t need full-time care. Nannies can be very expensive, but sharing one with another family makes it more affordable. Partner with another family (or two) to share one nanny with each of you taking different days/hours. Or, have the nanny take all the kids to alternating houses throughout the week. This type of set up makes it easier to find a professional, full-time nanny without having to shoulder the expense on your own.

If you embark upon this path, here are some tips for success:

  • Agree on a general framework for hours and days at the outset. This type of arrangement works better when everyone is on the same page in terms of schedules.
  • Be prepared to be flexible. Even the best-laid plans are bound to go awry occasionally, so enter into the arrangement knowing that you may need to make sacrifices based on the other family’s schedule and feel comfortable that they will do the same for you when the need arises.
  • Establish protocols for kid behavior and expectations. For example, will kids do school work with the nanny? What about watching television? Do you expect the nanny to supervise while the kids play or actively engage them in activities? Discussing these topics in advance can ensure a smoother partnership.
  • Make plans to address what you’ll all do if one of you is sick or exposed to COVID-19 and needs to quarantine. It’s best to partner with a family and a nanny who shares your perspective on the associated risk and right mitigation actions until the threat passes.

Encourage Your Kids to Play Independently

If child care isn’t in the cards for you, encourage your kids to play independently or with siblings. Many children can play quietly with a bit of guidance. Don’t feel bad about asking your kids to play alone. It’s a chance for them to develop essential skills and learn to be independent. But, be realistic about how long you expect them to play on their own. Here are some ideas:

  • Older babies can play happily in a pack-and-play or a stand-up activity center.
  • If your kids are young, set up an area where they can quickly reach a few essential toys and play independently while you supervise from a distance.
  • If your kids are older, encourage them to use quiet toys, like puzzles or coloring books, while you work. Ask them to select ones that interest them and set a timer to help them manage the time on their own.
  • Books are a great pastime for kids, those who know how to read, and those just learning to read. Encourage 30 minutes of reading while you power through some emails or return calls.
  • Let older kids play outside in your yard — they will have a ball and come in tired.
  • Consider showing a kid-friendly matinee movie each afternoon, so you have a concrete block of time each day.

Need more ideas for independent playtime, check out this blog that contains 105 activities to keep kids entertained while you work.

Consider Online Resources

Several online resources are available to help keep kids engaged and learning. A quick Google search for online learning will reveal a universe of online options to help your kids learn and grow. For example:

  • Khan Academy is free and aimed at assisting K-12 students in learning specific subject matter.
  • ABC Mouse is designed for younger kids and helps build fundamentals.
  • Outschool includes specialty classes that capture kids’ interests with a fun focus. Recent offerings include sharks, Godzilla, and Writers Workshops.

Although many moms feel a twinge of guilt by relying on screens, sometimes it’s the best option for finding the balance in work-at-home life. You can always enlist time monitoring apps like Kidslox and Bark to ensure that a little screen time doesn’t turn into a full-day affair.

Know You Aren’t Alone

The combination of working from home and caring for children can feel like a lonely uphill slog. You aren’t alone, though. Millions of other moms are in the same boat and experiencing the same frustrations and challenges you are. Remember, it is challenging to work at home and keep kids occupied. Struggling is a normal part of the process. But, with some creativity and planning, it’s possible to survive and even thrive through this stage.

It always helps to hear the stories of others. Join our Community of moms working from home and share your struggles, ideas or best tips for keeping kids busy while you take care of business.

Is Remote Work the Way of the Future?

The year 2020 has turned out to be far different than anyone could have ever expected. Outside of essential services, the survival of many businesses now rely on their ability to run remotely. Remote work is now one of the best and only ways a business can survive through these trying times.

But even before COVID-19, remote working was starting to flourish and become a worldwide phenomenon.

Let’s dive into how remote work has transformed from optional to essential.

Growing Populations = Increased Commuting Time and Costs

With the populations of our major cities increasing at a rapid rate and the methods of transportation to and from work becoming increasingly strained, many businesses started looking at ways to diminish travel time, expenses and stress that derives from commuting to and from work each day. This is one of the reasons remote work options started to come into play.

The Benefits of having a Remote Workplace for Businesses

Many employers have been choosing to have remote workplace environments for many reasons including:

  • lower operating costs,
  • the advancement of tools and technology,
  • improved productivity and quality of work and;
  • access to a broader spectrum of qualified workers.

Leadership and Communication in the Remote Workplace

As stated above, there are many benefits for companies who choose to create remote work environments for their employees. The key to having success in these remote working situations relies heavily on two things; Communication and Leadership.

Remote work success starts at the top of a company’s organizational chart – the Leadership. It’s up to the leaders to set the bar for policies, and procedures in remote work

There should be a clear and well laid out structure of supervision to motivate work from home employees and aspire them to hit their productivity goals and provide them with flexibility at the same time so they can create the perfect work-life balance

Strong communication is key to the success of any company but due to the lack of physical accessibility in a remote work environment, having clear communication protocol is essential.

Two considerations when laying out your policies and procedures for communication include; access to important information and the right tools and software to communicate with.

Remote Work as an Emerging and Essential Trend

Ten years ago, remote work was almost unheard of. This is because over the past decade there has been some key technological advances made and an influx of software options available for remote workers that has made running a remote work environment much easier and affordable to implement.

In some cases, it would cost a company more to NOT work remotely and have to source out office space, equipment and other in house essentials.

One of the biggest challenges for employers on the fence between remote work and in office work environments is not having the ability to monitor and implement strategies for sustaining productivity amongst their employees.

Some case studies however, have emerged reporting favorable findings that remote workers are more productive than in-office workers. Take CoSo Cloud for example; their survey reported a 77% increase in productivity within their remote workers.

COVID-19 and Remote Work

Many years ago, remote work was not an option because of the lack of the right equipment and technology to do so.

Fortunately, we are in a position to transition to remote work almost immediately which helps sustain a business when faced with a crisis like COVID-19.

Not only has this type of work become essential for our economy, but it’s also important to the health and safety of helping businesses survive.

Remote work can help businesses operate while governments have been closing non-essential service storefronts and emphasizing the practice of social distancing and self isolation.

What the Future Holds for Remote Work …

There is an endless amount of software offerings that support almost every aspect of business from logistics to accounting to marketing to sales and customer service.

Of course some exceptions to remote work abilities include businesses that rely on human to human physical contact such as health and wellness companies and manufacturing facilities.

For those companies in a position where remote work is a possibility, NOW is the time to do so.

The key takeaway to this article is that time is of an essence and there is no time for debate. The future IS in remote work environments in order to sustain non-essential businesses that would be forced to shut down if not providing remote work environments.

The Benefits to Doing so far Exceed the Setbacks.

6 Statistics Proving the Benefits of Working at Home

Did you know the number of people who work from home has increased by 140% since 2005?

Over the past decade, technology has really transformed the business world. Now, more and more businesses and individuals are discovering the benefits of working remotely from home.

With small businesses driving 44% of the total US economy, it’s easy to see how allowing employees or contractors to work from home would be beneficial and cost saving. It is a great solution to growing companies who seek an alternative to hiring, training and finding space for on-site staff.

We at HireMyMom, already know the amazing benefits of working from home but let’s look at the benefits the Industry Experts have to share on remote work:

1. Working at Home Saves Money

One of the biggest benefits of remote work is cost savings. According to Global Workplace Analytics (GWA), businesses can save up to $11,000 per employee each year by simply allowing them to work from home.

There is also less absence in the workplace when an employee can work from home. Again according to GWA, unscheduled absences cost employers $1800 per employee per year. The American Management Association realized a 63% reduction in unscheduled absences.

2. Working from Home Saves Time

Remote work can save a lot of time (and stress) because it eliminates the need to commute. According to the State of Telecommuting, part-time remote employees save around 11 days a year by not traveling to work. This means the employee is less stressed, less tired and can commit more time to performance rather than having their energy drained in rush hour traffic.

3. Working at Home Improves Productivity

It is true that distraction decreases productivity. There is nothing more annoying to an employer than seeing staff doing more chatting than working. But according to 2018 statistics, the majority of surveyed employees feel there are fewer distractions when working outside of the office.

Forbes.com relays that 77% of those who work from home get more done in fewer hours thanks to fewer distractions like meetings, conversations, and noisy coworkers.

When Highfive.com conducted a study, remote workers accomplished 30% more work in less time.

4. Working from Home Helps Improve Employee Retention Rates

Keeping employees happy is the key to a successful and productive business. If employees are not happy, the quality of work often suffers significantly and could lead to employee loss.

A huge part of employee happiness comes from:

  • less travel time and commuting costs
  • less distraction from their co-workers
  • the ability to have a more flexible schedule and;
  • a comfortable work environment

According to Global Workplace Analytics, a poll of 1,500 technology professionals revealed that 37% would take a pay cut if they could work from home.

From an employer’s perspective, 95% report that working from home has had a high impact on their employee retention rate.

5. Working at Home Improves Health

Remote work can improve employee health both physically and mentally. Monster.com reports that when Staples conducted a study in 2011, they found employees who worked from home experienced 25% less stress. They also reported being able to maintain a healthy work-life balance and experienced improved eating habits as well.

Working from home also means being less exposed to viruses and other airborne illnesses that can sometimes heavily impact the workplace environment. It’s much easier to self-quarantine one person than an entire office. Less sick employees mean less disruption to productivity and in turn can lead to companies saving thousands of dollars each year. This is an especially timely topic given the outbreak of the Coronavirus.

6. Working from Home Is Better For The Environment

According to the State of Telecommuting, the reduction in greenhouse gas emissions through telecommuters / remote workers is equivalent to 600,000 cars.

When employees eliminate the commute to work every day they help reduce the amount of pollution. By eliminating the commute, working from home drastically reduces the carbon emissions created from driving. In Entrepreneur.com’s article How Telecommuting Reduced Carbon Footprints at Dell, Aetna and Xeroxit’s stated remote work, even if it’s only done on a part-time basis, can still reduce over 54 million tons of greenhouse gas emissions each year.

At HireMyMom we help businesses hire talented, affordable, virtual team members and freelancers while at the same time, assist mom professionals in finding flexible, legitimate, home-based work to help create the perfect work-life balance.

Spotting a Work-at-Home Scam

Here at HireMyMom, we strive to be “the” resource for moms looking for great work at home jobs. And we aim to keep HireMyMom 100% scam free. Each job that is posted goes through our approval process. We look for negative reviews and other red flags before deciding if a job will be posted to our members. And there are many that do not pass the test and do not get posted.

We want to help educate our audience on what to look for if a job starts to seem suspicious.

Here are some signs of potential scams:

• The person offers to send you a check to buy equipment, supplies or some other business items. In this scenario, they will usually send a large check and have you purchase the items and ask you to send back the remaining balance. Once you have sent the balance back, their check has bounced and has left you out your own money that you sent them.

• Another red flag is if the person wants to chat by text or Google Hangout or hires you without an interview. Normally a person hiring for a real job will use email and then interview you by phone, Skype or FaceTime.

• Also of concern is if the person asks for personal information up front relating to your identity or banking information.

These are some of the techniques that we’ve learned of scammers attempting to use. There may be others. If you have any suspicions or are unsure about a job posting, please contact us so that we can look into it further.

If you are aware of a scam, here are some other places it can be reported:

4 Tips to Be an Effective Work From Home Boss

There are many tips out there on how to be an effective manager, but it goes to another level when you’re managing a remote team.  Your workers are out of sight, and it’s very important that you manage them, hire the right people, and still stay sane in the process! Managing home based employees can be a challenge at first, but it will give you more flexibility and freedom if you master it.

Read along for some of our best tips for management of remote teams.

Manage reasonably

Since you can’t physically be with your employees, it can be tempting to micromanage every task, client, and project.  But this goes against everything that work from home can be – flexible and less stressful.

You must start by trusting your employees, and that comes with hiring the right people.  Hire those who know if they’re productive independently, and who never give you reason to question what they’re up to.  With work from home jobs, it can be helpful to have a trial period of 30-60 days so you’re able to see this in real time.

Get together

Although your company is remote, it’s important to get together in person if and when you can.  Whether it’s for a mini retreat, incentive trip, or convention that will build your knowledge, it’s helpful to get your team together.

When you get together in person, you get a chance to really connect.  You build relationships, get to know each other, and discuss the business, which ultimately builds more bonds and solidifies trust.  On top of this, it can be fun for a remote worker to get to meet their team in real life.

Don’t forget that they also don’t get to see their co-workers very often, so you can bring this benefit to them and allow those relationships to strengthen as well.  When a team is reliant and trusting among co-workers, everything runs more smoothly and more effectively.

Invest in a program

There are many programs – free and paid – that allow you to more easily communicate with your team via video.  You have the free options of FaceTime, Skype, and the free option of Zoom meetings. For paid options, you can utilize chat options such as Slack, Sococo, or any other online communication program that also features video.

Even if you don’t do video communication on a consistent basis, it can still be fun to do from time to time.  When you aren’t using the video feature, be sure that you’re still communicating often. Group texts, client management systems, and Facebook chat are all great options.

Ask for details

While you shouldn’t be consistently micromanaging, keeping tabs on your team is still key.  Ask for detailed timesheets if that’s helpful at first, or you can do daily summaries. Whatever you need to feel at ease, while still allowing your team some freedom, is very important.

You can also utilize tracking software and time management software, if your team should need that.  Establish a solid process for reporting results and deliverables to the company and/or to your clients.  At the end of the day, this is your business, and work still needs to be done.

Becoming a manager of remote teams is all about the balance! Take some time to figure out what you need to feel comfortable, while still giving your team trust and getting the work completed.
