Intake Coordinator and Administration for Counseling Practice

Overview

We’re looking for a friendly and customer service orientated virtual front desk and intake coordinator for our counseling practice.

Initially for 1 hour per day, Monday- Friday. The hour can be broken up into 30min intervals (morning/afternoon), or taken all at once- but will need to take place each day at some point between 8am-7pm. There is future potential for small projects to add a few hours, or additional hours as the practice grows, but will always remain flexible.

The virtual intake coordinator and front desk will complete the following tasks:

1. Checking practice voicemail (we get about 3 calls per week average- most clients use email), and returning calls

2. Monitoring front desk e-mail and responding to new clients inquiring about counseling in a friendly and personal manner to answer questions, direct them to choosing a therapist, and using our online booking system to request their first appointment.

3. Checking that new clients have filled out their paperwork 24 hours before their session starts and supporting therapists by e-mail reminding new clients to fill everything out.

4. Answering basic insurance and/or billing questions new clients or existing clients might have about their session costs (we will train on this aspect, don’t worry 🙂

5. Maintain communication with clinical director and fwd. relevant e-mails to the right therapist or person.

We're a group practice of mental health counsellors, and we are building our group with a clinical residency training for new therapists. We support clients both virtually and in-person with mental health counseling.

Qualifications

Friendly e-mail & phone manner, patience with new clients, strong technical skills (using e-mail, apps, and software), customer service orientation, organization.
