Why did you become an entrepreneur?

I sometimes call myself an accidental entrepreneur because it was not in my original plans. However after having my first child, I desperately wanted to be at home with her. I had just finished my Master’s degree and had always dreamed of climbing the corporate ladder. But after having her, I wanted nothing more than to work from home and be able to be an integral part of her life. The most appealing part to me at the time was having freedom and flexibility in my day and that’s still a huge benefit all these years later!

 

What changes did you have to make start your entrepreneurial path?

When I first started out, I made the difficult decision to quit my full-time job which meant we needed to cut our living expenses significantly until I could get my freelance business going. We sold one car, got rid of cable TV and cut out every other bill we could. We ate more ramen noodles (hello cheap!) than I care to remember. It was rough getting started, but it gave me such drive to make sure I was successful. I knew if I wasn’t, then I would be forced to look for a job.

 

What has been the toughest aspect of being an Entrepreneur?

Going at it alone has been difficult at times. When you work for yourself, there’s no team members to turn to or bosses to teach you things you don’t know how to do. You are responsible for learning new skills, staying on top of new technologies, hiring the right people, and knowing when you may need to hire a coach to help you through some of the areas you are lacking in.

 

What advice would you give to someone who was thinking about transitioning into the entrepreneur life?

I would recommend really taking the time to discover what you are passionate about and what you are good at. Don’t just do something because you think you will make money. The honeymoon will be over on that before you know it. I believe you’ll have much more success doing what you love. Because then, it doesn’t feel like work, right?  I love what I do and I look forward to sitting down at my desk every day. Instead of looking at the clock 20 times a day wondering if its 5:00 yet, I look at it and think “oh no, I only have x more hours to work today”. That’s when you know you love what you do!

 

What do you enjoy most about being an entrepreneur?

I love being creative and being in charge of my time and my future. I love setting new goals for myself and growing by learning new things. And let’s face it, who doesn’t love being able to pack a bag anytime you want and take your work on the road for as long as you want! Last year, my husband and I were able to take off for 10 days to Hawaii where one of our daughters was playing her last collegiate volleyball games of her career and we got to be there for those and to celebrate her on Senior Night! Priceless memories, and I probably would not have been able to do that if I worked a traditional job.

 

What book are you currently reading?

I’m currently reading “The Compound Effect” by Darren Hardy because I need reminders that small choices day by day make huge differences in the future. So far, I’m loving it!

 

What does your daily routine look like?

I get up around 6am and have my coffee, prayer and Bible study time for about an hour to get myself focused in the right direction. Then I get my youngest up and ready for school. From there, I often work out for an hour, then head to my home office where I work until around 4pm when our youngest gets home from school. My work day includes writing, creating content, responding to customers, engaging with my community and working on daily goals.

 

What is something most people don’t know about you?

I am a first generation college student. I put myself through college with the help of loans, grants and the work study program. Upon graduation, I had a hard time getting my first job so I decided to look at scholarships for graduate school. I found the biggest one and figured I’d start with it. It was a full scholarship to study abroad in any country from Rotary International. To my surprise, I won the scholarship and attended the University of Stirling in Scotland where I received my Master’s in Marketing and Public Relations! That taught me that when God closes one door, there’s usually a bigger, better door waiting for you!

9 Tools to Help Your Virtual Team Succeed

Harvest makes it easy for users to keep track of the time users spend on tasks and projects. It also allows you to spot trends and compares someone’s work hours vs their capacity week over week. Here are four other time tracking options to consider.

Slack– a platform to connect teams with apps, services and resources. From Slack’s website, “When your team needs to kick off a project, hire a new employee, deploy some code, review a sales contract, finalize next year’s budget, measure an A/B test, plan your next office opening, and more, Slack has you covered.”

Loom allows you to connect with your team via videos. You can record yourself, your screen or both. Save time by videoing notes, how-tos, directions, and more without spending valuable time emailing back and forth.

Asana  is a free team management tool that allows you to delegate and organize tasks into projects. You can track the progress of group projects while also displaying individual to-do lists.

Trello is a task management tool that gives you a visual overview of what is being worked on, who is working on it and what’s next to do.

Zoom is a great tool if you are looking for face-to-face meetings, a way to share your screen or conduct online meetings.

DropBox and Google Docs let you share and access files remotely. No more emailing files back and forth, now you can easily edit and share files instantly.

10 Key Questions to Ask During the Interview

In our last article, we gave you 4 Tips on Writing a Great Job Post to help you attract some great candidates for your job.

Next you’ll want to narrow your list of candidates down, and then you’ll want to make sure you ask the right questions to confidently hire the best professional for the job.

Here are some great questions to consider asking potential hires:

  • What interests you about this job?
  • What other virtual jobs have you held and what were your responsibilities?
  • What did you like and dislike about this job(s)?
  • How do you structure your work day?
  • How do you handle disruptions?
  • What do you like and dislike about working virtually?
  • How do your skills and experience fit this job?
  • What makes you think you are the best candidate for this job?
  • What is your top tip for having a successful virtual working relationship?
  • How would you describe yourself in 5 words?

 

If you want to get more in depth, the Book, “Who”, authors Geoff Smart and Randy Street outline a thorough process for hiring “A” players. The process may be overkill for some smaller remote roles but the basics of the process provide a solid foundation for selecting the right candidate. 

The interview questions Smart and Street recommend are easy and conversational. They recommend an initial phone interview asking the following questions:

  1. What are your career goals? 
  2. What are you really good at professionally? 
  3. What are you not good at or interested in doing professionally? 
  4. Who were your last five bosses, and how will they each rate your performance on a 1–10 scale when we talk to them? 

Each of those questions should be followed up with “tell me more”, “how” and/or “what” to dig deeper to gain more insight about the candidate and their performance, work ethic and skill level. Other tools and resources are available on their website. 

 

After you’ve interviewed the candidate make sure to contact at least 3 of her references to see what they have to say about her and her past work.

Once you’ve asked these questions and talked to their references decide which candidate:

  • Has the skills you are looking for or is a quick learner willing to be trained,
  • Is confident, reliable and trustworthy,
  • Is Independent, self-starter, and doesn’t have to be micro-managed,
  • Meets deadlines and stays on task,
  • Is a great communicator both verbally and in writing.

 

Hiring a great remote employee or contractor doesn’t have to be difficult. Putting in a small amount of time up front and being intentional about the process will help you and your hires have a much more productive, satisfying and successful outcome!

4 Tips to Writing a Great Job Post

As a business owner, we know that your time is valuable, and you do not want to spend unnecessary time on the hiring process. That’s why we’ve created a strategy to help you attract and hire the best candidates for your needs.

The first thing you need is a great job post 

A well-written job post will:

  1. Include a brief overview of the job role and responsibilities including an explanation of the tasks the candidate will be doing.
  2. Indicate any specific experience or skills you are looking for.
  3. Give estimated hours needed per week and if applicable, the specific hours of the day the candidate is needed.
  4. Include your company / team values. Give the candidates insight to what’s important to you and your company to make sure they are a good fit for you and your business.

Here is an actual job post we’ve had on HireMyMom: “I’m looking for a VA I can grow my business with long-term. Hours will increase with growth. I need soeone good.”

Not only does the job post have spelling errors but it does not include any real information about what the job entails or what skills the candidate needs.

Aim for clarity with your job postings.

If you want qualified, experienced, knowledgeable applicants, make sure you job posting is clear and thorough. It doesn’t have to be long but make sure the applicants have a clear understanding of what you need.

If you need ideas to get your kick-started, try doing a search for “______ job description” and work from some of the duties and skills you find online. You can then refine it to reflect exactly what you are looking for.

3 Mistakes to Avoid When Hiring a Virtual Professional

Hiring someone to work for you off-site means you don’t have the luxury of meeting them or training them in person. And because of that, there are some things you should know to help make the working relationship more successful from the start.

Don’t hire by the resume alone

Hiring someone is more than just their experience on a piece of paper. You’ll want to interview over Zoom, Skype or similar tool that allows you to meet them face to face.

Ask how they manage working independently? What other jobs have they had working virtually for someone? What mistakes did they make? What did they learn?  Ask them about their organization skills and how they organize their day? What motivates them? What distracts them? Also be sure to talk to their references to get a feel for how they viewed the quality of their work.

Always ask for references and check them! You’ll want to know what type of employee (or contractor) they were. Were they reliable? Did they do a good job? What areas did they not do so good in? Are they trustworthy? Would they hire them again?

Request a background check through SafetyPin (Digital Trust Badge) especially if they will be dealing with private or sensitive information or have access to any private information.

 

Don’t assume they’ll know how you want it done

Before you hire virtual help, be clear about what you want done, how and when you want it done. The more clear you can be and the more meticulous your instructions, the better opportunity your new hire has of understanding and succeeding at this new role.

Create a Google Doc and add procedures and instructions that can be modified and added to the role develops.  The more implicit your instructions, the better chance you have of someone doing things how you want them done.

 

Don’t neglect to check in

For the first month or two, plan to check in regularly about progress and questions. You should be able to tell pretty quickly if the work is being done correctly. If not, determine what changes need to be made. Set parameters, guidelines and/or deadlines that need to be met.

Set up ways to monitor their progress going forward. You may want them to copy you on emails if they are responding on behalf of your business or send weekly reports of tasks completed so that you can check them initially to make sure the job is being done correctly and has been understood. If applicable, use collaboration tools such as Slack, BasecampAsana or Trello so that you can monitor, collaborate and train as needed.

Progress checks and regular communication are the main keys to success once you’ve hired your virtual professional. Follow these tips and your chances of success will skyrocket!

They were so terrified of offending me; they’d totally shut down if I asked for feedback and/or suggestions. They’d rather be “yes-men” and women than take ANY risk of offending you. Not productive. North American Moms on the other hand will (usually) be both gentle and honest.
  • Punctual: A few years ago I hired a half-dozen contractors on Elance. All were from India or Pakistan, and literally 100% of them were late on 100% of projects. As in, everything took at least TWICE as long as they quoted. Two week projects turned into 4 weeks, then 6 weeks very quickly. In my experience, North American Moms, though, are generally quite solid in their commitments.

When hiring a VA, it’s easy to just hire the least expensive option offering $10/hour vs. $15-20/hour, right? WRONG.

5 Tips to Improve Your Writing

Writing is an important part of marketing and advertising these days. Even if you aren’t doing either of these things, you might still have a personal (or business) blog, or simply want to improve your writing skills. Whatever your reason for writing, we can always improve!

If you’ve ever wanted to expand upon your writing skills for personal or professional reasons, read along for some of our top tips.

Practice

If you want to improve your writing, you have to practice! This can begin with reading others’ writing – blogs, newspapers, books and magazines, to name a few, and going from there.

It might be helpful to start your own personal blog, or a blog based on your current industry.  If you don’t feel ready to publish for the world to see, write on your own time. You can create your own daily journal, or write a short story that’s updated on a weekly basis.

The more you write, the more comfortable you become. Once you’re comfortable writing, you can work to improve sentence structure, grammatical errors, and flow.

Gather feedback

When we write our own pieces, it’s hard to disconnect.  Ask a friend or family member to review your writing for errors, flow, and any other suggestions.

They can also let you know if you need to be more concise!  Sometimes we get on a roll with writing, and we tend to get a bit too wordy.

Develop your own style

To find your own style, begin by writing in a variety of ways.  From standard AP style to casual blogs, it all requires some different perspectives.  If you really want to improve in general, try to incorporate them all.

From here, you can discover what you like best! Discover your own style. Is it more conversational in nature? Do you enjoy technical writing?  You might stumble upon a skill or career that you never knew you had!

Tell stories

The best writing and presentations includes telling stories. People want to relate to you, so it’s important that you incorporate details that allow them to do that. Stories are always more interesting and give your audience something to relate to.

Whether you’re writing a more “dry” piece or writing for an entertainment magazine, short stories are intriguing.  You can write about the subject(s), something that happened to you, or a story from history that supports your premise.

Put yourself out there

Writing doesn’t have to be scary, nor do you have to be a professional to get started! You can create a free blog on sites such as WordPress, and it takes almost nothing to get started – just some time.

If you have a message or story to share with the world, put yourself out there on a regular basis. This can only improve your writing, as well as keep you writing on a consistent basis.

When you write often and always look for improvement, you’re well on your way to developing more skill and accuracy as a writer!

4 Tips to Be an Effective Work From Home Boss

There are many tips out there on how to be an effective manager, but it goes to another level when you’re managing a remote team.  Your workers are out of sight, and it’s very important that you manage them, hire the right people, and still stay sane in the process! Managing home based employees can be a challenge at first, but it will give you more flexibility and freedom if you master it.

Read along for some of our best tips for management of remote teams.

Manage reasonably

Since you can’t physically be with your employees, it can be tempting to micromanage every task, client, and project.  But this goes against everything that work from home can be – flexible and less stressful.

You must start by trusting your employees, and that comes with hiring the right people.  Hire those who know if they’re productive independently, and who never give you reason to question what they’re up to.  With work from home jobs, it can be helpful to have a trial period of 30-60 days so you’re able to see this in real time.

Get together

Although your company is remote, it’s important to get together in person if and when you can.  Whether it’s for a mini retreat, incentive trip, or convention that will build your knowledge, it’s helpful to get your team together.

When you get together in person, you get a chance to really connect.  You build relationships, get to know each other, and discuss the business, which ultimately builds more bonds and solidifies trust.  On top of this, it can be fun for a remote worker to get to meet their team in real life.

Don’t forget that they also don’t get to see their co-workers very often, so you can bring this benefit to them and allow those relationships to strengthen as well.  When a team is reliant and trusting among co-workers, everything runs more smoothly and more effectively.

Invest in a program

There are many programs – free and paid – that allow you to more easily communicate with your team via video.  You have the free options of FaceTime, Skype, and the free option of Zoom meetings. For paid options, you can utilize chat options such as Slack, Sococo, or any other online communication program that also features video.

Even if you don’t do video communication on a consistent basis, it can still be fun to do from time to time.  When you aren’t using the video feature, be sure that you’re still communicating often. Group texts, client management systems, and Facebook chat are all great options.

Ask for details

While you shouldn’t be consistently micromanaging, keeping tabs on your team is still key.  Ask for detailed timesheets if that’s helpful at first, or you can do daily summaries. Whatever you need to feel at ease, while still allowing your team some freedom, is very important.

You can also utilize tracking software and time management software, if your team should need that.  Establish a solid process for reporting results and deliverables to the company and/or to your clients.  At the end of the day, this is your business, and work still needs to be done.

Becoming a manager of remote teams is all about the balance! Take some time to figure out what you need to feel comfortable, while still giving your team trust and getting the work completed.
