4 Tips for Computer Organization

As a work from home employee, most (if not all) of your work is done on your computer.  This is great, since you can take your work with you, but it can also get cluttered – and fast! When downloading files, graphics and anything else you need for work, your computer can start to look stressful.

Keeping your computer organized not only helps your productivity, but it keeps your machine running efficiently.

Use folders

A clean computer isn’t just for looks! When you need to locate certain files, staying organized is number one. Folders are a great way to do this, and it can be a helpful system to stay on track.

Create large folders that are more general in nature, followed by sub folders that can narrow down your search.  This allows you to find everything so easily, upping productivity and eliminating frustration.

Delete quickly

Once you no longer need a file, delete it! We often keep files for days on our desktops.  This leads to clutter, stress, and simple disorganization.

Take 5-10 minutes at the end of your day to delete everything that’s no longer needed.  Once your folders and files are set up correctly, you can easily slide each file into the appropriate folder.  This allows you to start the next work day with a clean workspace!

Clean frequently

Make a schedule for computer organization.  Beyond the 5-10 minute daily cleanup, set aside some time each week to look into your folders and clear out any old files.  These take up valuable space on your computer, bogging it down and making it harder to run.

Additionally, you may want to change up your folder or file names, or simply label them in a different way that will work better for you.  Whatever you choose to do, make sure you’re setting aside some time to make these changes on a consistent basis, instead of becoming overwhelmed when it’s ignored for months.

Lastly, make it a habit of cleaning your computer.  There are several programs out there for Macs or PCs that will sweep away old files, or help you to find large file that you no longer need.  This will keep your computer running smoothly and free from clutter!

Label everything

Although we created all of those great folders in tip number one, it won’t be as helpful if your file names are still disorganized.

When you search your computer for a specific file, you need to be able to find it! Make sure you’re taking the time to label your files everyday, and label them in a way that you will remember.  It can help to include the client name, task name, the date, and/or the purpose of the file.

4 Easy Ways to Better Organization

Organization is one of those small things that make a big difference.  Cluttered, disorganized spaces make us less productive, and it can be stressful to constantly feel like you’re playing catch up.

A well-executed organization plan is a key to success in business and at home, and it’s worth the effort to get things to a manageable place.  Read along for some of our best, easiest ways to stay organized.

Clear your space

Start by clearing out! If you’re naturally a disorganized person, the idea of organization can be slightly overwhelming.  Simply start by clearing the clutter and items you don’t like. You can also work to remove unsightly items, such as cords and other things that can be moved out of the way.

According to NAPO and BecomingMinimalist.com, 91% of people said they would be more effective and efficient if their workspace was better organized.

So not only is this task made to make your life easier; it can improve your work!

Make it a habit

Don’t let it build up! Whether it’s papers, digital files, your desktop, your kitchen island, or anything else that’s prone to clutter, be proactive about keeping it in shape.  This isn’t to say that it has to be 100% clear all the time, but make it a habit. Take a few minutes each day to organize each space so that the next day doesn’t feel overwhelming.

Create a system

Once your general clutter is clear, you can start to systemize your organization habits.  This can even be fun! There are plenty of fun storage and organization products at stores like The Container Store, Home Goods, Target, and so on.  You can pick out the items that will look best and serve you best, while making it your own.

Not everyone organizes the same way either! This is another place where you can pick your own style.  Do you prefer digital? There are tons of apps and pieces of equipment that allow you to scan all receipts, documents, and so on, and from there, you can organize them by file. If you prefer paper organization, choose a filing schedule and method that keeps things clear in your mind.

It’s important to keep to your organization schedule as well! Maybe take 60 minutes every Friday morning, or 10 minutes per day, if that’s more your style.  Maybe Monday is 20 minutes of digital file organization, Tuesday is 20 minutes at home, and Wednesday is all of your digital clutter. Make it work for you!

Create files

As we discussed, whether you’re paper or digital is a personal choice.  Things are moving more to the digital realm, but sometimes it’s still nice to have a hard copy.

You might think you can just wing your documents in either format, but it’s never very reliable.  You don’t want things to back up, or worse yet, get lost. Create files that make sense to you, and work to keep everything in its proper place.

Even if your desktop is clean, your individual folders should also be organized.  In addition, if you keep paper files, you should have everything in its correct place, not just out of sight.

Organization doesn’t have to be a challenge! Take some time each day or week, and keep it in the forefront of your thinking.  It will make your life easier and your workload more productive!

5 Tips to Prepare for Spring

Spring is just around the corner! With warmer temperatures starting to become more and more frequent, it’s only a matter of time before spring is here.  We associate spring with new beginnings and a fresh start, so it’s the perfect time to implement some of the ideas below for a great start to the new season.

Get outside

Fresh air equals a fresh mood! Get outside as much as you can during this time of year.  Start looking for local outdoor events and festivals. Go see a sporting event, attend an outdoor concert, or simply make time for a daily walk around the block.

Nature gives us positive energy and an energy boost, so it’s only fitting that it would be a perfect start to the warmer season.

Clean it up

It’s a great time to get that old dirt and dust out! From your living room to your office and pantry, use this time to get it all into shape.  Do a fresh coat of paint in your office, bring in some organic plants, or simply do a thorough cleaning.

You can also air out your house when it’s nice enough! Get the dust out. Start fresh for spring. Clean out clutter and donate, sell, or give away items that no longer serve you. This is great for your own energy and gets you into the feeling of a lighter season.

Refresh your resume

Homes aren’t the only thing that you can clean up this time of year.  Take a few hours to refresh your resume and hiring materials if you’re seeking employment.  Warmer weather tends to give us a more positive perspective, so use that vibe to restructure, edit, or redo your materials.

If you already have a job or business, you can update your website, order new business cards, or simply revise your business plan.

Lighten it up

While you’re lightening your burden in your home, be sure to do the same for your body! Get more exercise in the fresh air and choose lighter foods.  Our bodies typically crave lighter foods this time of year anyway, so fill it with hydrating, nourishing options.

It’s an ideal time of year for fresh fruit, healthy smoothies, and cooking nutritious meats and veggies on the grill.  Use seasonal produce for even more health and nutrition!

Take note of your schedule

How was your winter schedule? Did you cram too much in, or did you have a lot of extra time? Before spring comes, take a few minutes to examine your schedule.  Cna you better allocate your time over the next several months? 4 Tips for Boosting Effectiveness

Becoming more effective is not just applicable to work.  The more available time you have for your family and friends, the more your quality of life increases.  However, effectiveness at work is also important, and can make your work day much more manageable.  Working to be more productive or effective means saving time, money, and leaving time for those things you love most, all while producing quality work where you need to.

Where’s your time?

To become more effective, it’s very helpful to know where your current time is being spent.  Spend a few days taking inventory of your time, from business to personal.  If you find you can cut a few unnecessary hours in front of the TV, or eliminate a meeting that you no longer enjoy attending, you might find more time for the things you need and love.

You can avoid wasting time by taking inventory, prioritizing the most important tasks first, and truly listening.  Many mistakes and wasted hours can be saved by really listening to what a client or employer is looking for.  This eliminates hours of edits, re-dos, and spending time on projects that could’ve been done correctly from the start.  This can also be helped by asking a lot of questions at the beginning! Work smarter, not harder, and you’ll boost effectiveness quickly.

Focus on quality

Even though you’re trying to be more effective, quality is important, and focusing on it can save you time down the road.

Don’t just speed through your work – take your time to do it right.  When we want more time for ourselves, we can often speed through work, but it ultimately does not save us time.  Focus on quality in everything you do, and you’ll end up saving time in the end.

Set a timer

Break up your tasks! For example, exercise for 40 minutes, work on freelance job #1 for 60 minutes, break for 10 minutes, then work on freelance job #2 for another 60 minutes.  When you break up your day into sections, it helps you to focus directly on the task(s) at hand, and you know that you’ll get to other things later. Set an actual timer for these tasks, so you aren’t tempted to keep working when it’s time to move on.

This is also a great way to fit in the things you want to do! When you know you’ll be working on freelance work for 3 hours, but then have a 60 minute walk with a friend later, it makes your day that much better.  Not only are you being effective, you’re adding some more enjoyment to your day.  Your whole day does not need to be mapped out, but once you do this for a while, you’ll get into the habit of focus and effectiveness – one task at a time.

Take a break

Breaks are so important! As we mentioned in the tip above, you should even factor them into your schedule.   Breaking up your tasks and your day makes you more productive and keeps you fresh, leading to less mistakes and less chance of burnout.

We’re often believing that more work is always better, btu keeping yourself healthy – mentally and physically – is the first key to success.   You know how you feel after a vacation; you often feel refreshed and ready to work again.  Breaks in your day can do this on a smaller scale! Breaks can be 5 minutes to do a meditation video, a 10 minute walk, or a nice hour and a half lunch break with a friend from time to time.  The more you add some ease into your life, the more zest you bring to your job and your life.

5 Tips for Holiday Organization

The holidays are almost here! It’s the best time of the year, but it can also be the least organized. Between family, friends, extra events, parties, gifts, and so much more, it’s easy to get overwhelmed.

To avoid overwhelm and stay present in this holiday season, read along for some best tips for holiday organization.

Start early

Thanksgiving is almost here, but there’s still plenty of time before Christmas and the New Year! Avoid a lot of stress, panic, and lack of ideas by beginning as early as possible.

If you have a lot of gifts to buy, it can even be helpful to create a separate bookmark folder on your computer to compile gift ideas.  Simply copy down the link, take a screenshot, or store the item in your bookmarks folder with the name of the recipient.  Then, when it’s time to buy, you have some great ideas ready to go.

Create a work schedule

Work doesn’t go away during the holiday season.  If you know you’re going to have a particularly busy holiday, start working ahead as soon as possible.  Complete a few items per day that will go towards days you wish to take off or work less.

Holidays are special, and it’s important to spend time with your friends and family as everyone has more time off from work.  Put in the time, effort, and work ahead of time now so you can fully enjoy those moments later.  This way, you aren’t scrambling to finish work at the last minute, or worse yet, missing those fun, special times with those you love.

Less stuff

A lot of “stuff” can cause chaos in the home.  Make this the year of less “stuff!” No, it doesn’t mean you have to forego gifts, but can you do them differently.  Cut down on the number of things and up the value; it’s always preferable to focus on quality over quantity anyway.

For your kids, a useful practice can be to donate old items that are no longer used.  Have them select a few items to donate or throw away before the season of gifts arrives.  It’s not about prying away their favorite items that are truly used, but to make room for the new.  A home with less “stuff” is typically much less chaotic and more organized.

More experiences

On the topic of giving less “stuff,” comes experiences.  Experiences are wonderful gifts that give the gift of time, thought, and something unexpected.

Whether it’s a spa day, outdoor activity, escape room certificate, unique dinner out certificate, and so on, these are all items that can be experienced.  Experiences have the added benefit of your time!

Buy a gift card for two massages and treat your mom to a spa day.  If your kids love the water, treat them to a day at an indoor water park this winter.  The immediate gratification may not be there, but once the experience is underway, it’s typically the most memorable and most appreciated type of gift.

Other experiences come from participating in activities during the holiday season.  There’s so much cool stuff that goes on this time of year! Adventure out of your comfort zone, grab a friend or family member, and head out to enjoy some of the fun things that this time of year brings.

Organize the major days

Thanksgiving Day, Christmas, Kwanzaa, New Year’s Eve, Hanukkah – just to name a few! There are so many big days during the holiday season.  Start a list or a spreadsheet of each holiday you intend to celebrate in a big way and begin your checklist.

Whether it’s meals, cooking schedules, gift to dos, or things to pick up, include it all! Having your items in one central location like Dropbox or Google Docs can make collaborating and sharing among family and friends even easier too.

Eliminate the overwhelm this year! Start early, focus on less “stuff” and more experiences, and take the time to organize the big days.  You’ll be glad you planned ahead a bit when you’re able to enjoy more quality time with those you love!

How to Establish a Work From Home Routine

When you decide to work from home, either from a traditional job or stay at home mom role, there are bound to be some adjustments.

Getting into a new schedule requires a few steps, but it’s worth it to establish a routine that works for you and your family. Read along for tips on establishing a work from home routine that invites productivity and flexibility.

Figure out the differences

It’s important to ask yourself this question: What will need to change since you’re no longer going to the office, or being a stay at home mom?  You might still be parenting from home, but if you’re also working, things will still be a bit different.

If you’re now working from home, things are bound to change in the family schedule.  Maybe you can no longer participate in carpool duties daily, or maybe you’re wanting to free your schedule from 3-4pm to pick up your kids from school.  Additionally, things like meal prep, meetings with friends, and workouts need to be considered. If this fit into your day a certain way before, it might be best to just try to keep it. You might have far more flexibility, but it still requires that you figure out where it all fits into your new workday.

Answer the questions

There are more questions to answer to establish your routine! What will remain consistent? Maybe you’ll still do dinner at the same time and take your kids to soccer in the evening, but you’ll ask your children’s friends to handle carpool.

Also look at and examine: What will be changing based on family schedules, freelance projects starting and ending, time with friends, and so on.  Once you know what will change and what will stay the same, you can begin to create a daily schedule.

Focus on the goal

Whatever your reason for a work from home job, focus on this goal as you begin your new routine.  Are you looking for more flexibility in your life?  Do you dislike commuting very much?  Do you simply want more time with your family?  Or did you just fall into a job that happened to be home based?

Either way, you should work on establishing a goal for your work from home job.  It’s easier to begin – and keep to – a routine that sticks if you’re focused on a goal.  When things are a bit tough schedule-wise in the beginning as you readjust, remember that you get more time to attend your children’s events, or meet a friend for coffee, if those are your goals.

Keep track

Log your progress! Keep track of how you’re sticking to your new routine and schedule.  When you’re able to do something on your list of goals, or you maintain your weekly schedule, take note.

This also allows you to see where you may have over or under booked yourself. Make space for changes! This is an adjustment period, and it will take some time to get into the flow of a home based career.

It’s a big change, whether you worked before or not. Many people believe that working from home is simply easy, and that’s not always the case!  You may actually be juggling more demands now, however sweet it may be to have more flexibility.

Remember why you got into this type of work, praise yourself for staying on track, and make adjustments as you and your family needs to, and you will establish a productive routine in no time!

4 Tips for Keeping Your Computer Organized

When you work from home, your computer is an integral part of your day.  It’s very important to keep it organized and running smoothly.

We all know it’s important to organize our physical files, homes, and schedules, but even with all of that, our computers can look like a disaster!

Get a program

Software programs can really help to keep your computer running smoothly.  An organized computer doesn’t just look good, it functions well.  It’s important to clean out the clutter or “junk” on your comptuer on a consistent basis.

Whether you have a Mac or PC computer, there are several options available.  One is CleanMyPC and another is CleanMyMac.  Both are reasonably priced, and you can run diagnostic and maintenance tests and clean up cycles on your computer.

This will eliminate old, large files, system clutter, and much more.  It’s a sophisticated way to delete several files that are causing your machine to run slowly or inefficiently.

Another method of organization comes in the form of storage.  Sites such as Dropbox allow you to clear a lot of clutter from your desktop and computer and put it elsewhere.  This will free up a ton of space! Just be sure that you’re taking time to organize those files as well, so it doesn’t become a big mess of files.

You can store text documents, spreadsheets, forms, and other types of word processing documents in Google Drive/Google Docs.  It’s a great place to keep things that you want to keep Internet-based.  It’s also easy to share with your team directly.  This is helpful for organization, as it prevents you from having to store individual word documents on your computer.

Make a plan

An organization plan is helpful for everyday life! It should be no different for your computer.  It’s not enough to simply clean off your desktop once or twice; it should become part of your process.

Where do your struggle the most with your computer organization?  It is hundreds of files on your desktop?  A slow-running machine that’s full of unknown junk that’s bogging it down?  Do you have tons of mailboxes with no idea what’s in them?

Have a long session of organization to take stock in where you need to focus your efforts.  Make a plan of action that will get your started in the right direction!

Organize daily

Organization is a habit and you must do it daily.  Take a few minutes at the end of each day to clear your desktop, send files to Dropbox, and put your notes from the day in Google Drive.

Once you’re in the habit of organizing consistently, you’ll see how it frees up your computer and your mind from thinking about it.

Use folders

Folders are a beautiful thing! Whether for your desktop, in your computer or both, it’s important to organize.  In work from home positions, we can typically be working with several clients and/or employers at once.

You can start with big categories, such as one employer, then narrow it down by project or event.  You can keep the most important, often accessed folders on your desktop for easy opening.

Do your best to not have things sitting wildly on your desktop.  It can be visually stressful and overwhelming to see this often, and it makes finding important things very difficult.

5 Tips for Back to School Season Success

It’s almost that time again – time to go back to school! It’s hard to believe that school will be starting any day now, but as summer winds down, it’s important to gradually get back into the groove.

We all miss summer and its flexibility, but the school year also brings a lot of fun and more structure.  It can be a great time to reexamine priorities, take a solid look at schedules, and truly get prepared for the year ahead.  With a little bit of prep, you’ll be ready for back to school success!

Establish routines

Routines aren’t established overnight, so ease into a new one gradually.  Starting a few weeks before school starts, begin having your kids go to bed a bit earlier.  Start with 10 minutes, then 30, then 60, and so on, until they’re close to the time they will go to bed during the school year.

This is a much better approach than fighting on the first night back! It establishes expectations, gets kids sleeping more normally for the school year, and allows them to get on a schedule that works for them.  It’s also important to try to have them wake up a bit earlier too, so they can practice being active in the mornings.

Revamp your schedule

This is a great time of year to look at your home based career schedule and see where you can improve, change, or be flexible.  You might realize that you’re off balance in terms of work.  Maybe there’s too much going on, maybe there’s not enough.  If it’s the latter, take a moment to browse some new job positions.

You can also take some time to look at the schedule of your whole family for those first few weeks.  Will your kids be starting a sport?  Some type of rehearsal?  Adjust the family’s schedules around those first few weeks and months to make going back a lot easier.

Purchase your items

It’s a lot easier to get your back to school supplies now! Avoid the mad rush and create your list.  Browse the list from your children’s teachers, or simply find some basic back to school shopping lists online.  It’s better to go in prepared so you don’t forget anything.  Go on an off peak time and have your kids select their items.  It’s more fun to get them involved, and they can choose items that match their personality.

Also, make back to school shopping fun.  You don’t have to spend a lot of money, but you can make a fun day out of it so your kids are encouraged to start the new year on a positive note.

Set some goals

Setting goals this time of year is important for you and your family members.  While this doesn’t need to be done until closer to back to school time, it gets everyone into the habit of thinking ahead and working towards something.

Set some short-term goals that can be accomplished within the first few weeks of going back, such as sticking to bedtimes, agreeing to a proper place in the house to study, getting all the lunches packed, creating a work schedule that will work for the school year, and applying to a certain amount of jobs in a week. You can also set longer term goals with your kids, such as making the spring musical, playing a sport, or saving a specific amount of money for a purchase.

The goals don’t necessarily need to do with school, but are more for getting everyone thinking and being more productive during the school year.

Enjoy the rest

Above all else, it’s so important to enjoy the rest of the summer.  While you slowly implement tasks and items that will make the school year much smoother, don’t forget to enjoy the rest of this time of year.  You can even create a summer “bucket list” of items that you still have time to do.

Take another small trip or enjoy a staycation and technology-free weekend.  Take an afternoon to do something fun in your local area.  Book reservations at a fun restaurant for your kids.  Soak in this time and create memories! Schedule more playdates, more pool days, and fun times with your family.

You can certainly prepare for back to school while still enjoy the rest of what summer has to offer.  Then, when the school year starts, you’ll be all set for success!

3 Tips to Fall Into Organization

As the season changes into fall, the routine of life gets back into gear.  It’s also a prime time to consider organization as a work from home employee.  When your home is also your workplace, it’s important that organization is a key component to your daily life.  In a home office, you don’t have a cleaning crew to keep your office nice and neat on a daily basis, so it’s up to you to establish this routine.

Manage your environment

A disorganized office or home can set you up for overwhelm and failure from the get go.  Make it a point to keep your spaces neat and tidy, which is known for boosting productivity.  This also keeps you from wanting to spend your day cleaning and organizing, which can be avoided with a cleaning schedule.

A cluttered space is often a cluttered mind, so do your best to organize your desk, home, and general living space so that you can give as much productivity as possible to your home based job.

Make it a daily habit

All you need is 10 minutes per day!  Once your system of organization is set up, simply spend at least 10 minutes per day staying that way.  Whether you choose a detailed filing system, color-coded documents, or just very well organized computer files, be sure that you’re taking the time every single day to look at these items.

When organization becomes a habit, it becomes part of our life.  Research suggests that it takes 21 days to make a new habit, so do your best to stick it out for at least 3-4 weeks, especially if organization isn’t your thing!  You might just find that you’re more productive, your mind is more clear, and you’re much more able to find needed items and files when they’re needed.

Keep it separate

Although this is more of a mental organization tip, it can also do wonders for your physical space – an office or a computer organizational system.  Make sure all your clients, employees, and employers are kept separate, as to clear up space in your head.  When you’re constantly putting everything together, you have to take the time to decipher which item, email, or request is from which client.

Since many work from home employees hold numerous freelance positions, organization here is more important than ever.  If you want to keep everything in one place, such as a master to do list, organize your clients or employers by color-coding them.  This will allow you to quickly see which tasks are for which person, leaving your brain power for the important items – your work!

Organization doesn’t need to be difficult or time consuming – it just has to become part of your life.  When you’re organized as a home based employee, your productivity is much higher and you’re able to produce more accurate and efficient work for your clients.

Think of how much easier it will be to find those folders or emails once everything is set!  Organization frees up time and mental space from the clutter – the clutter of seeking items you can’t find, and the clutter of a disorganized workspace that generally brings down your workday.  Put in the time now and reap the rewards daily!
