4 Tips for Boosting Effectiveness

Becoming more effective is not just applicable to work.  The more available time you have for your family and friends, the more your quality of life increases.  However, effectiveness at work is also important, and can make your work day much more manageable.  Working to be more productive or effective means saving time, money, and leaving time for those things you love most, all while producing quality work where you need to.

Where’s your time?

To become more effective, it’s very helpful to know where your current time is being spent.  Spend a few days taking inventory of your time, from business to personal.  If you find you can cut a few unnecessary hours in front of the TV, or eliminate a meeting that you no longer enjoy attending, you might find more time for the things you need and love.

You can avoid wasting time by taking inventory, prioritizing the most important tasks first, and truly listening.  Many mistakes and wasted hours can be saved by really listening to what a client or employer is looking for.  This eliminates hours of edits, re-dos, and spending time on projects that could’ve been done correctly from the start.  This can also be helped by asking a lot of questions at the beginning! Work smarter, not harder, and you’ll boost effectiveness quickly.

Focus on quality

Even though you’re trying to be more effective, quality is important, and focusing on it can save you time down the road.

Don’t just speed through your work – take your time to do it right.  When we want more time for ourselves, we can often speed through work, but it ultimately does not save us time.  Focus on quality in everything you do, and you’ll end up saving time in the end.

Set a timer

Break up your tasks! For example, exercise for 40 minutes, work on freelance job #1 for 60 minutes, break for 10 minutes, then work on freelance job #2 for another 60 minutes.  When you break up your day into sections, it helps you to focus directly on the task(s) at hand, and you know that you’ll get to other things later. Set an actual timer for these tasks, so you aren’t tempted to keep working when it’s time to move on.

This is also a great way to fit in the things you want to do! When you know you’ll be working on freelance work for 3 hours, but then have a 60 minute walk with a friend later, it makes your day that much better.  Not only are you being effective, you’re adding some more enjoyment to your day.  Your whole day does not need to be mapped out, but once you do this for a while, you’ll get into the habit of focus and effectiveness – one task at a time.

Take a break

Breaks are so important! As we mentioned in the tip above, you should even factor them into your schedule.   Breaking up your tasks and your day makes you more productive and keeps you fresh, leading to less mistakes and less chance of burnout.

We’re often believing that more work is always better, btu keeping yourself healthy – mentally and physically – is the first key to success.   You know how you feel after a vacation; you often feel refreshed and ready to work again.  Breaks in your day can do this on a smaller scale! Breaks can be 5 minutes to do a meditation video, a 10 minute walk, or a nice hour and a half lunch break with a friend from time to time.  The more you add some ease into your life, the more zest you bring to your job and your life.

When you work remotely or hire virtual professionals, you need a reliable way to track hours. Small businesses want to see how their virtual contractors or off-site employees are spending their time.  And contractors need a professional and reliable way to track their hours and bill their clients.

We’ve complied a list of some of the most popular time-tracking websites below. Many of these tools also integrate with other team and client management software which can be very helpful.

Toggl

Toggl makes it easy for you.  “Logging time with Toggl is as easy as it can possibly be. Just click a button to start the timer, and stop it once you’re done with your tasks. Simple as that, on any device.”

Toggl also allows you to log time anywhere on the web, so you don’t have to login to Toggl every time.  You can also discover what’s taking up your time via their visual reports option, so you’re able to visually see how long each task takes, as well as the time spent by your team members.

Pricing begins at $9.00 per month for the Starter level, and goes up to $49.00 per month for larger organizations and those who want additional features.

Harvest

Not only can you track your own time on Harvest, but you can see where your team’s time is going as well.  “Harvest collates this raw timesheet data into a visual summary of where your team’s time is going,” according to their website.

You’re also encouraged to keep track of Projects, so things never slip through the cracks.  According to their features, you can “Keep your projects on track (and make sure your business is going strong) with answers to key questions, courtesy of intuitive visual reports pulled right from your timesheets.”

Pricing is free for one person and 2 projects, and goes up to $12.00 per person, per month if you purchase for a team.

Timely

Timely offers great features that allow you to “Let your timesheet create itself. All you need to do is to confirm.”

The site allows you to create an automatic timeline based on tasks, from your calendar, which you’ve completed in an easy to see and use format.  This was created because “People forget what they worked on, and they don’t want to spend time tracking time. So they avoid it, and you have to chase them down. That’s where Memory comes in: A radical new way to track time,” according to the Timely website.

Pricing begins at $7.00 per month and goes up to $59.00 per month for larger teams and more in depth features.

MyHours

MyHours allows you to “Start or stop timer with a single click, switch timings between tasks in seconds or, just as important, pause for a coffee break.”

MyHours also has the capability to set variable hourly rates, report work to your clients in style and detail, and do this via PDF and Excel reports.  They also offer a graphic breakdown of your work, so you’re able to see how your time is spent, how tasks are going, and what your team members are up to.

Pricing begins for free, and goes to $6.00 per user, per month for more capabilities, such as budgeting, billing, additional team members, and more.

Paydirt

Paydirt offers Smart Time Tracking, which means you can “Use the built in tracker to start a timer for any client in one click. Tracking time is a pain, but Paydirt takes the sting out,” according to their website.

It also integrates with Basecamp, Trello, Redbooth, Google Chrome and Zapier. Pricing begins at $8.00 per month for a single user, and up to $149.00 per month for a large agency of 20 team members.  “Smart Reminders” allow you to “determine who you’re working for automatically, and adds a link to start a timer right there on the page.”  It’s a very simplified option that keeps you on task.

5 Tips for Holiday Organization

The holidays are almost here! It’s the best time of the year, but it can also be the least organized. Between family, friends, extra events, parties, gifts, and so much more, it’s easy to get overwhelmed.

To avoid overwhelm and stay present in this holiday season, read along for some best tips for holiday organization.

Start early

Thanksgiving is almost here, but there’s still plenty of time before Christmas and the New Year! Avoid a lot of stress, panic, and lack of ideas by beginning as early as possible.

If you have a lot of gifts to buy, it can even be helpful to create a separate bookmark folder on your computer to compile gift ideas.  Simply copy down the link, take a screenshot, or store the item in your bookmarks folder with the name of the recipient.  Then, when it’s time to buy, you have some great ideas ready to go.

Create a work schedule

Work doesn’t go away during the holiday season.  If you know you’re going to have a particularly busy holiday, start working ahead as soon as possible.  Complete a few items per day that will go towards days you wish to take off or work less.

Holidays are special, and it’s important to spend time with your friends and family as everyone has more time off from work.  Put in the time, effort, and work ahead of time now so you can fully enjoy those moments later.  This way, you aren’t scrambling to finish work at the last minute, or worse yet, missing those fun, special times with those you love.

Less stuff

A lot of “stuff” can cause chaos in the home.  Make this the year of less “stuff!” No, it doesn’t mean you have to forego gifts, but can you do them differently.  Cut down on the number of things and up the value; it’s always preferable to focus on quality over quantity anyway.

For your kids, a useful practice can be to donate old items that are no longer used.  Have them select a few items to donate or throw away before the season of gifts arrives.  It’s not about prying away their favorite items that are truly used, but to make room for the new.  A home with less “stuff” is typically much less chaotic and more organized.

More experiences

On the topic of giving less “stuff,” comes experiences.  Experiences are wonderful gifts that give the gift of time, thought, and something unexpected.

Whether it’s a spa day, outdoor activity, escape room certificate, unique dinner out certificate, and so on, these are all items that can be experienced.  Experiences have the added benefit of your time!

Buy a gift card for two massages and treat your mom to a spa day.  If your kids love the water, treat them to a day at an indoor water park this winter.  The immediate gratification may not be there, but once the experience is underway, it’s typically the most memorable and most appreciated type of gift.

Other experiences come from participating in activities during the holiday season.  There’s so much cool stuff that goes on this time of year! Adventure out of your comfort zone, grab a friend or family member, and head out to enjoy some of the fun things that this time of year brings.

Organize the major days

Thanksgiving Day, Christmas, Kwanzaa, New Year’s Eve, Hanukkah – just to name a few! There are so many big days during the holiday season.  Start a list or a spreadsheet of each holiday you intend to celebrate in a big way and begin your checklist.

Whether it’s meals, cooking schedules, gift to dos, or things to pick up, include it all! Having your items in one central location like Dropbox or Google Docs can make collaborating and sharing among family and friends even easier too.

Eliminate the overwhelm this year! Start early, focus on less “stuff” and more experiences, and take the time to organize the big days.  You’ll be glad you planned ahead a bit when you’re able to enjoy more quality time with those you love!

5 Ways to Add Fun To Your Home Office

If you work from home, you’ll be spending a lot of time in your home office.  Since it will become your main place of business, it’s important that it reflect you and be comfortable.

Personal style

Including your personal style in your office is an easy way to start seeing items that will fit.  If you go into it assuming that offices have to be sterile and boring, you won’t be able to find the items that work for you.

Is your style eclectic?  Do you like really neat, clean lines and minimal color?  Once you establish your personal style, you can choose a paint color, office supplies, and systems of organization that fit your personality.

Office supplies

Office supplies can be a lot of fun! From dog-shaped staplers to taco tape dispensers, to personalized pens and binders, you can really spice up your office for minimal investment.

Check out Target’s office section or hit up the Container Store for fun storage options.  Office supplies certainly don’t need to be boring!

Add some art

Add something to your walls! Even if you aren’t a huge art buff, you can include something on your walls. You can also simply do a fun paint color, accent or patterned wall, or add prints from Etsy.

Etsy even has downloadable prints that you can print at home, and most range from $3-10.  This is an easy way to add color, personality, and style to your space!

Add an unexpected feature

Looking to really add some fun?  Add something unexpected or unique!  In an office setting, something like a zen garden is great for keeping the peace and adding another feature.

You can also add plants, succulents, a small water feature, and so on.  This is just something that’s fun and unique to you, that also gives your office a conversation piece!

Make it functional

Put the fun back in functional. Seek out ergonomically correct chairs, desks and office furniture. It won’t be as enjoyable being in an office if you’re uncomfortable and feeling out of alignment each time you work.  But these items don’t need to be boring! There are colorful office furniture options everywhere, as well as desks that might have a unique shape or setup that’s more suited to your working style.

Don’t forget about computer and phone cords and other functional items. There are fun ways to incorporate these as well.  From the functional – cord wraps – to the fun – USB cords – you can add your own spin.

How to Establish a Work From Home Routine

When you decide to work from home, either from a traditional job or stay at home mom role, there are bound to be some adjustments.

Getting into a new schedule requires a few steps, but it’s worth it to establish a routine that works for you and your family. Read along for tips on establishing a work from home routine that invites productivity and flexibility.

Figure out the differences

It’s important to ask yourself this question: What will need to change since you’re no longer going to the office, or being a stay at home mom?  You might still be parenting from home, but if you’re also working, things will still be a bit different.

If you’re now working from home, things are bound to change in the family schedule.  Maybe you can no longer participate in carpool duties daily, or maybe you’re wanting to free your schedule from 3-4pm to pick up your kids from school.  Additionally, things like meal prep, meetings with friends, and workouts need to be considered. If this fit into your day a certain way before, it might be best to just try to keep it. You might have far more flexibility, but it still requires that you figure out where it all fits into your new workday.

Answer the questions

There are more questions to answer to establish your routine! What will remain consistent? Maybe you’ll still do dinner at the same time and take your kids to soccer in the evening, but you’ll ask your children’s friends to handle carpool.

Also look at and examine: What will be changing based on family schedules, freelance projects starting and ending, time with friends, and so on.  Once you know what will change and what will stay the same, you can begin to create a daily schedule.

Focus on the goal

Whatever your reason for a work from home job, focus on this goal as you begin your new routine.  Are you looking for more flexibility in your life?  Do you dislike commuting very much?  Do you simply want more time with your family?  Or did you just fall into a job that happened to be home based?

Either way, you should work on establishing a goal for your work from home job.  It’s easier to begin – and keep to – a routine that sticks if you’re focused on a goal.  When things are a bit tough schedule-wise in the beginning as you readjust, remember that you get more time to attend your children’s events, or meet a friend for coffee, if those are your goals.

Keep track

Log your progress! Keep track of how you’re sticking to your new routine and schedule.  When you’re able to do something on your list of goals, or you maintain your weekly schedule, take note.

This also allows you to see where you may have over or under booked yourself. Make space for changes! This is an adjustment period, and it will take some time to get into the flow of a home based career.

It’s a big change, whether you worked before or not. Many people believe that working from home is simply easy, and that’s not always the case!  You may actually be juggling more demands now, however sweet it may be to have more flexibility.

Remember why you got into this type of work, praise yourself for staying on track, and make adjustments as you and your family needs to, and you will establish a productive routine in no time!

4 Tips for Keeping Your Computer Organized

When you work from home, your computer is an integral part of your day.  It’s very important to keep it organized and running smoothly.

We all know it’s important to organize our physical files, homes, and schedules, but even with all of that, our computers can look like a disaster!

Get a program

Software programs can really help to keep your computer running smoothly.  An organized computer doesn’t just look good, it functions well.  It’s important to clean out the clutter or “junk” on your comptuer on a consistent basis.

Whether you have a Mac or PC computer, there are several options available.  One is CleanMyPC and another is CleanMyMac.  Both are reasonably priced, and you can run diagnostic and maintenance tests and clean up cycles on your computer.

This will eliminate old, large files, system clutter, and much more.  It’s a sophisticated way to delete several files that are causing your machine to run slowly or inefficiently.

Another method of organization comes in the form of storage.  Sites such as Dropbox allow you to clear a lot of clutter from your desktop and computer and put it elsewhere.  This will free up a ton of space! Just be sure that you’re taking time to organize those files as well, so it doesn’t become a big mess of files.

You can store text documents, spreadsheets, forms, and other types of word processing documents in Google Drive/Google Docs.  It’s a great place to keep things that you want to keep Internet-based.  It’s also easy to share with your team directly.  This is helpful for organization, as it prevents you from having to store individual word documents on your computer.

Make a plan

An organization plan is helpful for everyday life! It should be no different for your computer.  It’s not enough to simply clean off your desktop once or twice; it should become part of your process.

Where do your struggle the most with your computer organization?  It is hundreds of files on your desktop?  A slow-running machine that’s full of unknown junk that’s bogging it down?  Do you have tons of mailboxes with no idea what’s in them?

Have a long session of organization to take stock in where you need to focus your efforts.  Make a plan of action that will get your started in the right direction!

Organize daily

Organization is a habit and you must do it daily.  Take a few minutes at the end of each day to clear your desktop, send files to Dropbox, and put your notes from the day in Google Drive.

Once you’re in the habit of organizing consistently, you’ll see how it frees up your computer and your mind from thinking about it.

Use folders

Folders are a beautiful thing! Whether for your desktop, in your computer or both, it’s important to organize.  In work from home positions, we can typically be working with several clients and/or employers at once.

You can start with big categories, such as one employer, then narrow it down by project or event.  You can keep the most important, often accessed folders on your desktop for easy opening.

Do your best to not have things sitting wildly on your desktop.  It can be visually stressful and overwhelming to see this often, and it makes finding important things very difficult.

4 Top Tips to Be a Successful Work From Home Employee

We’ve talked a lot about being a successful leader and manager, but how do you go about being a successful work from home employee?

Whether you’ve recently come from a traditional office job or you’ve been a home based worker for years, it’s always a good time to reevaluate what you’re bringing to the job.

Track your time

To be a successful worker, it can be helpful to track your time.  Whether this is done at your boss’s request or to see where you’re putting your time, it can help you prioritize.

One of the best ways to be a solid employee is to know how to prioritize and not let things slip through the cracks.  Tracking your time is also incredibly helpful if you’re paid by the hour, as your employer will appreciate the details.

Communicate, communicate, communicate!

The best employees are those who communicate! If you go off the grid, especially in a work from home position, it can spell trouble.

If your employer doesn’t know what you’re doing, they may start to lose trust and begin questioning your employment.  Do your best to communicate with your employer on a consistent basis, and even do check-in calls as needed.

If you do client work for your employer, be sure that any communications are clearly noted there as well.  Since you aren’t in a traditional office environment, staying in contact via email, phone, and text becomes even more crucial!

Make a schedule

Along with tracking your time, a schedule can help you stay on task.  It can be best to make an outline of your work week schedule for the upcoming week.  Start with the items that you do on a daily basis, then add in other items based on due dates.

From here, you can add the “special” projects and unique items as they come in.  Working with a schedule or to do list also helps things to not get missed, as they simply go to the next day’s schedule if they aren’t completed.

Build relationships

Staying connected and being a successful work from home employee begins with communication.  Once that trust has been built and nurtured, you can begin to build relationships with your employers and co-workers.

Since everyone likes to work with those they know, like and trust, establishing strong, trusting relationships with your team is very important.  This will ensure that your value is communicated beyond the professional sphere.

Being a good employee involves personal accountability and responsibility, solid scheduling, and lots of communication! If you take time to do these things on a consistent basis, you will certainly find success as a home based employee.

Today begins holiday break for a lot of families, and it’s important to take the time to refresh and rejuvenate before the start of the new year.

Although most of your household will likely be home from school and work, a home based worker is never truly “away” from work.  It’s very important to take time for yourself this time of year while still completing your work.  Read along for some best practices in keeping up with productivity while enjoying the season.

Create schedules and lists

At this time of year, many of us are juggling numerous events and schedules! It can help to create short lists and schedules for work, Christmas, New Year’s, and anything else that’s taking place during this busy holiday season.

Before you go on break, take a few minutes to figure out what needs to be done and when.  There’s still time to lay everything out and prioritize based on available days.

Use spare time

When there are activities taking place that don’t involve the whole family, take this time to stay back.  Of course you don’t want to miss anything truly special or important, but simple errands can be skipped if there’s another family member who can handle them.

You can also utilize early bedtimes and nap time to get ahead with work.  Although everyone is typically home for the holidays, there can still be time when your kids are with friends or spending time with other family members.

Work ahead

As with all productivity tips, working ahead is a great way to stay on top of things.  Most of us will still have to put in some working hours over the next couple weeks, but if you work from home, you can likely work when you have the time.

Even though home based work never really goes away, we have the benefit of being able to work at any time.  Utilize this to your advantage! Spend a few nights or early mornings before holidays working ahead a bit.  This not only ensures that you’re completing the work that needs done – it allows you to come into the new year without a mad rush of work.

Enjoy the season

Work will still be there after holiday break! We all have work, family, and home obligations, but this is truly the time of year to enjoy your family.  Yes, work is still important and must be completed, but find a way to work it into your holiday schedule without missing those truly magical moments with your friends and family.

5 Questions to Find Your Home Office Style

If you work from home, you’ll be spending a lot of time in your home office. While we’ve discussed style options and functionality in the past, it can be helpful to start with some solid questions to help determine what will work best for you.

Answer the following questions to begin a home office design that best fits your function and style!

How does the room function?

You can change room functionality, but it’s not always feasible or budget-friendly. Most of the time, we’re going to be using what we have already available.  Does the room have good lighting?  If not, that’s something you need to consider.

Are you too close to a window?  Too far from any natural light?  These are all considerations.  Additionally, is the room too small and is there another spare room available? You’ll need to make note of everything you intend to put in the room, so space is another crucial element to your design.

Which colors?

What speaks to you as far as color? Bright red is beautiful and popular, but it might not calm you as far as a workspace.  What colors are serene and calming to you?  Blue and green are known for these qualities, so they can be a good place to start.

On the other hand, if bright colors inspire your creativity and passion, they can certainly have a place in your office design.  Think of a colorful, bright or 3-D accent wall that might add some unexpected fun to your workspace.

What kind of furniture?

Your desk, chair, bookshelves, and so on – all important parts of an office.  While most will likely have all of these items included in their home office, some may need more or less support or ergonomic furniture.  Another popular item to consider is the standing desk and if it makes sense for you.  These are all decisions that will impact the look, budget, and functionality of your space.

Are you going more for style or function?  These days, you can basically have both depending on budgetary restrictions.  Once you choose your function and color, furniture is a great next step.  Choose what you need, match for color or functionality, and begin choosing these larger statement pieces.

How do you organize?

Everyone needs a system of organization, whether basic or extensive.  Now that you’ll be thinking of your furniture needs, it’s important to factor filing and organizational systems into this.  Do you want a filing cabinet?  Do you do better with mostly online filing?

There are tools and programs that allow you to file all receipts and papers digitally, as well as traditional filing systems that are available at all office stores. Choose a system from the beginning, as this will integrate more seamlessly into your design.

What’s your style?

Do you need a beautiful space to work or does functional matter most to you? Some people will be very content with a very basic office without much color – but a lot of functionality.  These offices can still have several systems and items in place that work best for the worker.  If style is important to you – since you will be spending a lot of time here – take the time to truly make the space your own.

It can be fun to include your child’s artwork, fun books, small decor items that match your style, and much more.  When someone walks into your office, they should still get a sense of your style and how you like to design and work.

5 Tips for Successful Work From Home Meetings

Even though home based employees don’t work in a traditional office, they typically still have meetings just like everyone else.  Whether meeting with co-workers or your boss, clients or potential customers, meetings will still be a key component to your days or weeks.

Working from home can present challenges that aren’t present in a normal office, so read along for some best practices for work from home meetings.

Eliminate distractions

When working from home, there can be noise from kids, dogs, or people knocking on your door, just to name a few.  While these things happen and most people understand, it’s important to do your best to eliminate these distractions.

Can you set up a playdate for your kids during an important meeting?  Is it possible to give your dog a treat outside or in the crate while you chat?  It’s crucial to have some time and space carved out for a quiet, productive meeting when the time comes.

Check technology

There’s nothing worse than a meeting ruined by technology!  While sometimes there’s absolutely nothing you can do with a chosen software service, do your best to access the technology ahead of time.

If you’re going to be using a webinar or conference phone line or software package, try it beforehand and make sure everything has been installed correctly.  This way, you’re able to join the meeting on time and without errors.  If you’re unsure if you’ve been hooked up correctly, ask a friend or coworker to test it out with you.

Have an agenda

Agendas are important for all meetings, not just home based ones.  Especially if you’re the one in charge of the meeting, make it a point to map out a brief agenda of topics to cover.  The typical opinion of meetings can be that they’re a waste of time; don’t let this happen to you!  Ensure that your meetings are productive, to the point, and involve a schedule that can be easily navigated.

Not only will your other meeting attendants be grateful for something to keep them on track, you’ll get out of the meeting much quicker than you would if you went into it blindly.

Take notes

Notes are key to remembering what went on and who is assigned to what tasks.  Whether you’re the note-taker or designate someone else to do so, make sure this is in place before the meeting begins.  When deciding on who should take the notes, it can be helpful to choose the person who might be in more of an assistant role, or someone who doesn’t need to be 100% focused on the conversation at hand.

Treat it normally

Working from home can be an excuse to fall into lazy work habits, but that’s not productive or professional to your employers or coworkers. Treat every single home based meeting just as you would in an office; it might even help to dress up if it’s a very important one.

Set your office for success, eliminate distractions, have everything in place ahead of time, and your meeting will be productive and efficient – the hallmark of a great meeting!
